How to Scan a Document on Mac

Use Image Capture for easy scanning

What to Know

• Open Image Capture from the Applications folder, then select your scanner. Under Pictures, select your preferred scan destination.
• Under Size, select a size for the bounding box. For additional control over the scan, click Show Details to open an options panel.
• When you’re satisfied with your scan options, select Scan to scan the document or image.

This article explains how to scan a document on a Mac using Image Capture. Instructions apply to macOS Big Sur through OS X Lion (10.7).

How to Scan a Document on Mac Using Image Capture

With the all-in-one printer or stand-alone scanner turned on and connected to the Mac, place a document, publication, or image you want to scan in the scanner. Then:

Open Image Capture on the Mac. Find the app in the Applications folder to launch it or type Image Capture into the Spotlight search field.

Select your scanner from the pane at the left of the main window. If you don’t see your scanner, click Shared to reveal shared devices and then make your selection.

Image Capture opens on the default scanning window, which can be used for basic scanning needs, although advanced options are available.

In the Pictures drop-down menu, select a destination for the scan.

Select a size for the bounding box. US Letter is the default, and you can opt to draw several bounding boxes to scan several portions of the document.

For additional control over the scan, click Show Details to open the options in a panel to the right of the main window and see an overview scan, or preview, of the image you’re scanning.

Change the bounding box around the document by dragging. In the Show Details panel, select between color or black-and-white scans, set a resolution and size, name the scan, and view more options.

When you’ve made your choices in the Show Detail panel, click Scan to start the scan. It is saved to the location you chose.

More About the Scan Options in Image Capture

The options in the Show Detail panel give you control over the finished scan.

• Scan Mode: Choose between Flatbed and Document Mode.
• Kind: Select either Color, Black & White, or Text. Changing this updates the overview scan to reflect your selection. If your scanner is calibrated, the colors are similar to the original document.
• Resolution: Set the DPI, or dots per inch, for your scan. Each dot of the DPI represents a single pixel. The higher the DPI, the more pixels in each square inch.

A basic black-and-white document looks good at 150 dpi, whereas color images look better at 240 or 300 dpi. A higher DPI setting should be reserved for scans that benefit from a higher resolution, such as photo prints.

• Size: Enter the size of the selection box in inches.
• Rotation Angle: Rotates the selection box clockwise by a specific number of degrees.
• Auto Selection: During the overview scan, Image Capture automatically detects the document edges and places the selection box or boxes around them. Choices here include:

1. Detect Separate Items: Locates multiple items on the scanning bed. Each item gets its own selection box and its own file.
2. Detect Enclosing Box: Places one box around one or multiple smaller documents. All of them are scanned at once in a single file.

• Scan To: This shows where the scanned file will be saved. By default, scans are saved to the Desktop.
• Name: Give the scan a name here.
• Format: Set the file format of the scan. PDF is best for documents or a mix of text and images. JPG is best for photos. If you’re not sure which to pick, PDF is a good choice. A PDF can easily be turned into a JPG later if needed.

If you select PDF, you see a check box labeled Combine into single document. This setting combines all your scans into one multipage PDF. If you forget to click this box, PDFs can also be combined in Preview after the scans are complete.

Scan images or documents using your Mac

If you have a scanner or a printer with a scanner, you may not need any special software to scan an image.

Before you scan, you need to open your scanner. Then, follow the instructions for either a document-feeding scanner or a flatbed scanner.

Note: The following options might not be available for your scanner. If these instructions differ from what you see onscreen, refer to the documentation that came with the app you’re using.

Open your scanner

Connect your scanner to your Mac, plug it in and turn it on.

Choose Apple menu

> System Preferences, then click Printers & Scanners.

Select your scanner in the list on the left, then click Open Scanner on the right.

If your scanner is also a printer, you may need to click Scan on the right before you can click Open Scanner.

If you don’t see an Open Scanner button, you may need to set up your scanner, or check the documentation that came with your scanner to see how to perform scans.

Scan with a document-feeding scanner

With a scanner that has an automatic document feeder, you can scan several pages at once. The same settings are used for all the pages in the feeder. If pages need different settings (for example, some are greyscale and some are colour), scan them in different groups.

Place the pages in the scanner’s document feeder.

Choose Apple menu

> System Preferences, then click Printers & Scanners.

Select your scanner in the list on the left, then click Open Scanner on the right.

If your scanner is also a printer, you may need to click Scan on the right before you can click Open Scanner.

If you don’t see an Open Scanner button, you may need to set up your scanner, or check the documentation that came with your scanner to see how to perform scans.

Select Use Document Feeder.

Set scanning options. You may need to click Show Details to see all the available options. You can choose any of the following:

Choose the type of image being scanned: Use the Kind pop-up menu.

Choose Text for black-and-white images with high contrast, such as a document; choose Black & White for greyscale images; and choose Colour for colour images.

Scan both sides of a page: Select Duplex.

Choose a size for the scanned item: Use the Size pop-up menu.

Choose where to save the scanned items: Use the Scan To pop-up menu.

If you choose a folder, the items are stored in that folder. If you choose an app, the items are opened with that app.

Adjust the colours or exposure of the scanned image: Choose Manual from the Image Correction pop-up menu, then adjust the controls.

If you don’t see the image correction controls, scroll down or make the Scanner window taller.

The scanner scans the pages one at a time.

Scan with a flatbed scanner

With a flatbed scanner, you can scan multiple smaller images at once, store each image in its own file, and straighten any images that were crooked on the bed during scanning.

Place the items on the scanner bed.

If you want to save each item in its own file, make sure there’s empty space between each item on the scanner bed. If you scan an image that has lots of white space, the scanner may import it as more than one scanned image.

Choose Apple menu

> System Preferences, then click Printers & Scanners.

Select your scanner in the list on the left, then click Open Scanner on the right.

If your scanner is also a printer, you may need to click Scan on the right before you can click Open Scanner.

If you don’t see an Open Scanner button, you may need to set up your scanner, or check the documentation that came with your scanner to see how to perform scans.

Deselect Use Document Feeder, if that option is present.

Choose where to save the scanned items from the Scan To pop-up menu.

If you choose a folder, the items are stored in that folder. If you choose an app, the items are opened with that app.

Choose the size of the image or document you’re scanning from the Size pop-up menu.

You can choose a standard paper size or one of the following:

Detect Separate Images: Store each item in its own file and straighten crooked items.

Detect Enclosing Box: Include all the items on the scanner bed in one image that’s just big enough to include them all. Crooked items aren’t straightened.

A preliminary scan determines what items are on the scanner bed. An additional scan is performed for each file that’s created.

In most cases, the scanned files are saved on your computer. To find out the exact location where the files are saved or how to choose another location, see your scanner documentation. Also see your scanner documentation for information about how to save scanned files in specific file formats to send or transfer to others.

Планшетный сканер. Положите изображения на стекло сканера.

Можно отсканировать несколько небольших изображений одновременно и сохранить их в разных файлах, а также выровнять изображения, которые лежали на стекле неровно.

В приложении «Просмотр» на Mac выберите меню «Файл» > «Импортировать со сканера» > [название сканера].

Ориентация. Выберите параметр «Дуплекс» для сканирования обеих сторон листа.

Коррекция изображения. Настройте цвета или экспозицию отсканированного изображения. Выберите режим «Вручную» и воспользуйтесь соответствующими элементами управления.

Сканировать в. Выберите место сохранения отсканированных изображений. Если этот параметр не отображается, Вы можете выбрать место для сохранения отсканированных изображений после сканирования и открытия изображения в приложении «Просмотр».

Если элементы управления коррекцией не отображаются, прокрутите экран вниз или увеличьте высоту окна «Сканер» на экране.

Сканер сканирует страницы по очереди.

Все отсканированные объекты открываются в одном окне.

Совет. Чтобы добавить страницу со сканера в открытый документ, можно выбрать «Правка» > «Вставить» > «Страница со сканера».

How to Scan Documents with Notes App on Mac

There was once a time when scanning a document required a piece of big, clunky hardware. Those times have thankfully long passed and we can scan things using our iPhones and iPads. But did you know that you can use your Mac to scan things too?

Technically, you’re still using your iPhone or iPad but only as the scanning hardware. The document that you’re scanning will appear in the Notes app on your Mac, ready to be manipulated or saved for posterity. Whatever the reason for your scanning, doing it is way easier than you might think.

We’ve already shown you how to do this using the Notes app on your iPhone or iPad, but here’s how things go down when you throw a Mac into the mix.

What You’ll Need To Scan Documents

As usual, there are a few prerequisites that need to be met before you can scan documents using your Mac, iPhone, and iPad. Both the Mac and the device you’re using to take the scan will need to be on the same Wi-Fi network with Bluetooth enabled. They also need to be signed into the same iCloud account, too.

The Mac will need to be running macOS Mojave or later, while iOS 12 and iPadOS 12 or later are required on the iPhone and iPad.

Scanning Documents on the Mac with Notes

Start by opening the Notes app on your Mac and either creating a new note or selecting the one that you want to import the scanned document into. We’d suggest starting a new note per scan, but it’s entirely up to you depending on what you’re scanning and what you intend to use it for.

1. Right-click inside the note that you want to attach the scanned document to and select “Scan Documents” below the device that you want to use. Again, that could be an iPhone or iPad – in this case, we’re using an iPhone 11 Pro.
   • If multiple devices are available, select “Insert from iPhone or iPad” and then select the correct source.
2. The camera will open on the iPhone or iPad you’re using. Position the document in the viewfinder and the camera will automatically take a scan of it. You can scan multiple pages by placing them in front of the camera.
   1. Tap the “Auto” button in the top-right corner if you’d prefer to take the scan manually by tapping the shutter button. This will give you more control over the scan’s composition, although the automatic scanning has worked surprisingly well in our testing.
   2. Tap the flash icon to enable or disable it as required. You can also switch from a color to a grayscale scan by tapping the three circles in the top-center of the screen.
3. Tap “Save” when you have scanned all of the pages you need.

Your scans will now appear in the Notes app and inside the note that you selected. Those scans and notes will also be pushed to your other devices if you have iCloud syncing enabled, too.

You can do all of this right from your iPhone or iPad, too. The process is very similar and you don’t need to use your Mac at all. If you have iCloud syncing enabled everything will also be pushed to it anyway.

Happy scanning! Oh and by the way, outside of the Notes app you can also initiate scanning from the Files app of iPhone and iPad, and directly from the Mac Finder too – but more on that later.
