Screenshot sizes in windows
In this lesson you’ll learn how to take a screenshot, and how to crop that image down to size. For example, suppose you were getting an error message on screen and wanted to send it to us to see if we could help. Instead of typing the error message, or trying to explain it, you could take a screenshot, crop to reduce the file size, and then insert the image into your email. Here’s how.
First, you need to locate the Prt Scrn button on your keyboard. This stands for Print Screen, and is usually located on the right hand side of a standard keyboard, just above the Insert, Home and Page Up keys. However, if you have a laptop, the Prt Scrn button can be hard to locate. Look in the very top right of your keypad. Not only that, you may have to hold down your laptop’s function key first, which is usually found in the bottom left of the keypad.
Press the Print Screen button once on a PC, or use the Function Key > Print Screen combination on a laptop. This will copy whatever you see on your screen to the computer’s memory. Once the screen is in the computer’s memory it can be pasted into an image editor for manipulation.
The image editor we’ll use is Paint. This has been much improved with Windows 7 and can be found by clicking your Start button. From the Start menu click All Programs at the bottom:
Now click on Accessories, and Paint:
When Paint starts up, click the Paste button at the top:
The image you captured on the desktop should now appear in the main viewing area. If it doesn’t, it means you haven’t captured the image. So try pressing your «Prt Scrn» button again.
You now need isolate just that part of the image you’re interested in. After all, there’s no sense in sending anyone the whole of the screen when you only want to capture the error message.
To isolate just part of the screen, click the Select button on the Paint toolbar:
Now move your mouse back on to your image. The cursor should have changed shape. Hold down your left mouse button on the top left of whatever it is you’re trying to capture. Keep your left mouse button held down and drag to the bottom right. In the image below, we’re trying to isolate some code and the error message:
Unfortunately, Paint is not very good when it comes to resizing a selected area. You might think the white squares are sizing handles. But if you hold your mouse over one and try to drag to a new position it will cut and move the image instead. It’s better if you press the Select button again. This will deselect your chosen area, and you can have another go.
If you accidentally move your selected area, click the Undo icon at the very top left of Paint:
Once you have a selection, right-click this area and you’ll see a menu appear. Select Crop, and the image will shrink to your selected area:
Paint is also not very good at refining the cropped area, either. If you want better screenshots then you would need a decent image editor like the free Gimp (which is quite hard to use). Photoshop Elements is also a very good image editor, and is well worth paying money for. The best professional image editor is Photoshop, (Elements is a stripped down version of this), but it’s quite expensive.
For quick screenshots and basic cropping, however, Paint should be fine.
Once you have cropped your image down to size, you can save it by clicking the dropdown menu at the top:
From the menu, select Save As to see the following options:
As you can see, there is a bewildering array of options! If you want to keep the file size down to a minimum, use GIF or PNG. (GIF is the more common of the two.) For better quality images, but large file sizes, use JPEG. If you’re sending somebody a screenshot in an email, GIF is the better option.
But you should now know how to take a screenshot, and crop the image in Microsoft Paint.

How to take and annotate screenshots on Windows 10
Sometimes the easiest way to make a copy of something is to take a snapshot of your screen. While you can already capture your screen using your keyboard’s PrtScn button, you can now press Windows logo key + Shift + S to open the new modern snipping experience (also called the snipping bar), then drag the cursor over the area you want to capture.
Here are some common ways to take and annotate screenshots in Snip & Sketch on Windows 10.
Take a screenshot
Option 1: Using the Snip & Sketch app
Press the Start button and enter Snip & Sketch in the search field.
Press the New button to start snipping with the snipping bar.
The snipping bar allows you to capture the following types of snips:
Rectangular snip. Drag the cursor around an object to form a rectangle.
Free-form snip. Draw a free-form shape around an object.
Full-screen snip. Capture the entire screen.
Once you snip an area of your screen — the snipped image is added to your clipboard and you can paste it immediately in another app. A screen prompt will also allow you to annotate, save or share it using the Snip & Sketch app.
Option 2: With the Print Screen key
While the PrtScn key already captures your full screen and sends it to your clipboard, opening the snipping bar provides you with more snipping tools you can use for precise snipping. For better control of your screen capturing options, you can opt to have your PrtScn key open the new snipping bar instead of having to type Windows logo key + Shift + S.
To turn on the new snipping feature keyboard shortcut Select Start > Settings > Ease of Access > Keyboard
Option 3: With the Window logo key + Shift + S shortcut
Pressing the S key + Windows logo + Shift keys down initiates the snipping bar at any time.

To open an image from Snip & Sketch, select Open File or drag and drop an image from apps like File Explorer or Photos in the Snip & Sketch window.
Annotating images with Snip & Sketch
Snip & Sketch provides a few tools for annotating images, namely pen, pencil and highlighter. Once you click a tool to select it, you can click it again to change its color or thickness.
The tools work better with a pen device, but they can also be used with mouse or touch if you select the Touch Writing button icon.
Use the Eraser tool to remove specific strokes or click it twice to get the option to erase all ink.
Use the ruler or protractor tools and draw straight lines or arches.
Press the ruler/protractor button again to hide the ruler/protractor
Reside or rotate the ruler/protractor by using two finger touch gestures (if the Touch Writing button is selected) or with the mouse wheel.
Use the crop tool to crop the annotated image.
To undo cropping, select the crop tool again and press Cancel to restore the image to its full original area.
Panning the view
Some of the images you annotate might be larger than the size of the Snip & Sketch window. You can use the scroll bars to pan the view, but you can also pan the view with touch input (if the Touch Writing button is not selected) or by dragging with your mouse button while holding the Ctrl key down.
Zoom in and out of screenshots to make them easier to mark up using the magnifying glass icon. You can also zoom in and out of screenshots by pressing the Ctrl key down and tapping the + or — buttons.
Sharing and saving snips
Snip & Sketch copies the annotated snip to your clipboard when you open it and every time you make edits. Snip & Sketch allows you to save the annotated image to a file, share it or open with another app, or print it on paper or to a pdf file.

While annotating is best done using a pen or mouse — Snip & Sketch provides a lot of keyboard shortcuts you can use. Access keys are activated if you press and hold the Alt key.
How To Screenshot A Specific Area On Your Screen In Windows 10

Windows 10 is the first Windows version to have a built-in screenshot feature. Users on older versions had to rely on the Snipping tool which wasn’t very convenient to use. This missing feature was compensated for via third-party apps. Windows 10, at present, has a very basic screenshot feature. If you tap Win+PrntScr, Windows 10 will capture your entire screen. If you compare it with macOS, the feature is still lacking. With the current feature, you cannot screenshot a specific area on your screen. Come the Creators Update in April, things will change slightly. Windows 10 will be able to screenshot a specific area on your screen with no extra apps involved.
This new feature is available on the Windows 10 Insider builds. To capture a screenshot of a specific area on your screen, tap Win+Shift+S.
This will add a white translucent mask to your screen. The cursor will change from the pointer arrow to a cross-hair.
When the cross-hair appears, click and drag it over your screen to select the area you want to capture. The white mask will start to disappear from the area you select. Release your mouse button to capture the screenshot.
Like other screenshots taken with the built-in screenshot tool, this one will be save the image to the Pictures library inside the Screenshots folder.
If you use the OneNote desktop app on the current version of Windows 10, or any older version, this new feature will seem very familiar. The OneNote desktop app lets you screenshot a specific area on your screen via its system tray widget. It uses the exact same shortcut as well. The only difference is that OneNote for the desktop is not a free app and it does not come with your Windows installation.
Despite this new feature, Windows 10 still lags behind macOS. macOS lets you capture a screenshot of a specific area, any window, or the entire screen. It captures HD screenshots with no extra apps needed and macOS has had this feature for over a decade.
For Microsoft to get ahead, it will have to improve the feature exponentially. It is, if nothing else, a very useful feature that has made me abandon my default screenshot app. The areas it can improve in, to out-do Apple, is to add cursor capture. At present, neither Windows 10 nor macOS capture the mouse cursor in a screenshot.
Windows 10 users who need to show the cursor in a screenshot will still have to use a third-party tool. Microsoft is taking baby steps but this isn’t a very complicated feature and it can afford to take larger strides.

While not wrong, that overly complicates things.. Since Windows 95, so over 20 years, PrtScr has captured the screen. Alt+PrtScr has captured the active window.
The problem is that with more people using the laptops, the PrtScr button often requires you to shift or Fn to get to it. So people forget that the simple way exists. But if you have a full screen keyboard, there’s a much easier way.
Granted, neither of those lets you do a selection, but often just an active window will do the trick.
