How to migrate your Windows Print Queues

“Help! I’m a Windows print server administrator and I want to copy all of my printers and drivers to a new Windows print server. What’s the fastest and best way to do this?”

Migrating or Backing up your Windows Print Server

Did you know that since Windows Server 2008 R2, you can use Microsoft’s Print Management Console to take a backup of your print server or migrate all of your print queues, drivers, and most ports to a new server?

One “gotcha” to keep in mind is that this tool can only migrate certain types of printer ports like Standard TCP/IP or WSD ports. Unfortunately it cannot migrate local ports like nul or the PaperCut TCP/IP Port, so we’ve provided workarounds below. All things considered, this is still a handy way to save yourself hours when doing a Print Server migration or give yourself a backup plan when making major changes to your print server.

Export Printers

1. Open Print Management by pressing Windows key + R, then type printmanagement.msc and hit the enter key.
2. Click on Print Management, then select Action from the menu, then Migrate Printers…
3. Choose the option Export printer queues and printer drivers to a file, then simply follow the prompts.

Import Printers

1. Take that resulting file from the previous steps and copy it to your new print server.
2. Open Print Management on the new print server then navigate to Migrate Printers… like before.
3. This time choose Import printer queues and printer drivers to a file and choose the file that you exported from the old print server.
4. Test out printing from your new print server and then call it a day.

Which Printer Ports can or can’t be migrated?

These ports can be migrated or backed-up without issue:

• Standard TCP/IP Ports
• WSD Ports
• COM1, LPT1 (since these already exist by default in Windows)

These ports cannot be migrated or backed-up automatically:

• Local ports like “nul”, often used for Find-Me Printing, will need to be created manually
• Ports that use 3rd-party port monitors like the PaperCut TCP/IP Port. If your print server is set up to use the PaperCut TCP/IP Port for Hardware Page Checking, you should know we’ve written a PowerShell script to help you automatically switch all your printers to a Standard TCP/IP Port and back again.

Other considerations

• You may want to power off your old print server then give the new one the same IP address and hostname as the old print server so that clients can continue printing.
• If you’re running PaperCut on your old print server, you’ll want to follow the steps in our Migrating PaperCut to a new server article to get PaperCut moved over to the new system.
• If you find that this process hangs or crashes, try setting the Print Driver Isolation mode to Shared. See: Fixing Print Spooler crashes.

can’t delete print queue in Windows 10

I have a document that has been printed but is now again showing in print queue but won’t delete, just shows as pending. So can’t use printer.

HP 3050A printer.

Before windows 10 upgrade I could go into printer spoolers and delete, but the 2 items shown there don’t delete.

How do I sort this with this new windows system?

In this case you will have to manually clear them and check.

Clear the Print Queue.

This will often fix the problem on its own.

• Open the Services window (Windows key + R, type services.msc, press enter).
• Select Print Spooler and click the Stop icon, if it is not stopped already.
• Navigate to C:\Windows\system32\spool\PRINTERS and open this file. You may need to show hidden files or enter an administrator’s password.
• Delete all contents inside the folder. Do not delete the PRINTERS folder itself. Note that this will remove all current print jobs, so make sure no one on your network is using the printer.
• Return to the Services window, select Print Spooler, and click Start.

Windows: Clear Print Queue

If you have a long list of hung or corrupt print jobs in Microsoft Windows 10, 8, or 7, you can clear the print queue easily by using either of these methods.

Command Method

You can clear the print queue using commands like this.

1. Select Start.
2. Type Command .
3. Right-click “Command Prompt” and select “Run as administrator“.
4. Type net stop spooler then press “Enter“.
5. Type del %systemroot%\System32\spool\printers\* /Q then press “Enter“.
6. Type net start spooler then press “Enter“.
7. The print queue on your Windows should now be cleared. Type exit , then press “Enter” to exit the command window.

GUI Method

You can clear the print queue using this the Windows GUI.

1. Hold down the Windows Key and press “R” to bring up the Run dialog.
2. Type services.msc , then press “Enter“.
3. Find the “Print Spooler” service in the list. Right-click it, then select “Stop“.
4. Leave the Services window open. Hold down the Windows Key and press “R” to bring up the Run dialog.
5. Type %systemroot%\System32\spool\printers\ , then press “Enter“.
6. Select all of the files by holding “CTRL” and pressing “A“.
7. Press the “Delete” key to delete all of the files.
8. Go back to the Services window, right-click “Print Spooler“, then select “Start“

Some files remain in the “printers” folder and will not allow me to delete them. How to I get rid of these?

Make sure the Print Spooler is stopped. If you’re sure it’s stopped, you might want to try opening a command prompt and running “chkfdsk /f /r” to run a check on the hard disk. Once complete, attempt to delete the file.
